Attending the Event

Whether you want to hone your competitive edge; make your team more cohesive or sustainable; explore robotics beyond FIRST; connect with other FIRSTers over roundtables, sports, or card games; or get a glimpse at the future of this event - there's informative presentations, hands-on workshops, fun activities, an insightful panel, and a keynote waiting for you at the event!

Why Attend?

Attending the event gives you the chance to learn from and connect with a variety of teams and organizations from around the area, all in one place!

We hope that you will join us, and look forward to seeing everyone!

Attendance Fee

Attending the event costs $5 per person (free for volunteers).

Payment is due in cash at the door as part of the check-in process. This is used primarily to cover event food and supplies.

Unfortunately, due to rising costs, we are unable to offer a group discount this time; we hope to bring that offer back in the future! We will also not be accepting online payments for the time being. Teams can still pay for all of their members collectively via cash or check at the door. Even if you are paying for your team as a group, all attending members of your team should still sign up individually so our session leaders have accurate headcounts and contact lists to send resources to.

COVID Safety Protocols

For the safety of all participants, all attendees (and volunteers) will be required to provide proof of vaccination at the door (physical, a clear photo, or CA digital vaccine card) and clear temperature checks to receive a wristband (if an attendee) or a badge (if a volunteer) allowing entry into the event. Masks are also required at all times (unless you are outside, eating, or far away from anyone else).

You'll need to have been fully vaccinated for at least 2+ weeks; boosters are recommended, not required. We will only accept medical or religious COVID vaccination exemptions with a brief written explanation and a negative PCR test (NOT rapid test) within 72 hours PRIOR to event attendance. If this applies to you, please notify us via email at workshops@wrrf.org by 3pm PST November 9 of this exemption, and show your test results and explanation at check-in to enter.

Food

Attendees should bring their own lunches. Volunteers will have lunch provided for them, unless they choose to decline.

Snacks and refreshments are included in the attendance fee, and will be offered to all participants during lunch. Light breakfast foods (e.g. coffee and fruits) will also be available for everyone in the morning.

Housing & Accommodations

We do not provide support for attendee housing and accommodations at this time. However, there are a number of hotels located close to the university - use your favorite map service to locate and contact them.

Additionally, there is a shuttle that runs between San Jose Mineta Airport and the transit station directly across from the university, if that is of interest.

Directions & Parking

The event will begin in the Sobrato Campus for Discovery and Innovation (SCDI) at Santa Clara University.

The easiest way to get there is to enter the campus through the Palm Dr entrance, off El Camino Real. For those who favor public transit, there is a Caltrain, VTA, Amtrak, and ACE transit station right across the street from the university opposite this entrance. If you need more detailed instructions for reaching campus, try the university's transit directions tool. You will see the university sign on your way in. Once you have entered campus, take the second left to enter the Main Parking Structure, or keep going straight to reach a drop-off area.

As the event will be on a weekend, you can park on campus in spots marked B, E, or F in the Main Parking Structure or elsewhere for free and without a permit, as long as that section has not been specifically closed off. Checking In

Check-in will take place in the lobby of the Sobrato Campus for Discovery and Innovation (SCDI).

If you are paying with cash or check, please have that ready with you when you check in. If your team paid for you, let us know what team you're from and we'll check it against our list of teams that paid as groups.

Regardless of whether you are an attendee or volunteer, you must come check in with us to clear our COVID precautionary checks before entering (see the section titled "COVID Safety Protocols" above). Ideally, you should check in during our designated check-in period (8:15am-9:00am), but if you must come later we will have staff at the front desk until the late afternoon.
